Adding people to projects
Project administrators can add people to projects.
To add people to a project:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Do one of the following:

Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

Click in the Enter email or select a user field.
This opens a list of Revizto license members. For registered Revizto users, it displays names and email addresses. For users who have not completed their registration, it only displays email addresses.
Troubleshooting:
-
Select people that you want to add. You can start typing names or email addresses to find them.
If you want to add people that are not members of your Revizto license, type their email addresses separated by spaces, commas, or semicolons, and then press Enter.
To correct an email of a person that is not a license member, double-click it, edit it, and then press Enter.Troubleshooting:

In the Set project role list, select a role for the listed users.
A role defines their access rights in the project. When you select a role, you can click to view its details.

Click Invite.
This has the following effect:
- If a user is a license member or adding them to the license does not require a license administrator's approval, they get an invitation email.
- If a user is not a license member and adding them to the license requires a license administrator’s approval, they get an invitation email after the approval.
- If you are a license administrator and adding any of these users to the license requires your approval, you are prompted to approve this immediately. If you want to do it later, click Cancel.
Troubleshooting:
Resending invitations to projects
If a person that was added to a project has "Pending" status in the list of project members, they haven't registered at Revizto Workspace and they cannot access the project.
A project administrator can resend a registration link. Each link is valid for 72 hours.
To resend an invitation:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Do one of the following:

Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

Select the checkboxes next to one or several users with "Pending" status, and then click Resend invitation.
- Review the list of selected users. You can click next to a user to remove them from the selection.
- Click Send.
Viewing project members
Any project member can view the list of project members.
To view project members:

Sign in to ws.revizto.com.
-
If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Do one of the following:
-
Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

You can filter the list of project members by status, role, company, department, and location. You can also set a filter that displays only project administrators by selecting the Project administrator checkbox.
To clear the filter, click Reset.
Troubleshooting:
You can sort the list of project members by clicking some column headers. To change the sorting order, click the same header again.
You can show or hide columns by clicking in the upper-right corner of the list and then selecting or clearing the checkboxes next to column names.

Managing project member access rights
Each project member has a project role, which determines their access rights in the project.
License administrators can create and edit project roles. Project administrators can assign roles to project members.

To view the role and access rights of a project member:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Open the project and then, on the top toolbar, click Project Team .

Select a project member. Their role is displayed in the Project role column.
- Click View project role or Set project role next to the role name (the button appearance depends on your rights in the project).
This opens a list of access rights. The rights that are included in the role have checkmarks next to them.
If the project member is a project administrator, there is no or button. For information on project administrator rights, see Project administrator access rights.
Assigning project member roles
Project roles define project member access rights. Project administrators can assign roles to project members, except for themselves, project owners, and license administrators.

License administrators have the "License administrator" project role, which cannot be changed. For more information, see License administrator (project role) access rights.
Assigning project member roles (single project member)
To assign a role to a single project member:

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Do one of the following:

Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

In the Project role column, click Set project role next to the project member role.

Select a new role and click Apply.
The new role takes effect immediately. The project member does not have to sign out.
Assigning project member roles (multiple project members)
To assign a role to multiple project members:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.
- Do one of the following:

Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

Select the checkboxes next to project member names and click Set project role.

Review the list of selected project members. You can click next to a project member to remove them from the selection.

Select a role and click Apply.

Sending mail to project members
Project administrators can send email messages to project members directly from Revizto workspace.
To send mail to project members:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to Tools, and then select My Projects.

Do one of the following:

Open the project and then, on the top toolbar, click Project Team .

Find a project and then, in the Actions column, click the Project Team button.

Select the checkboxes next to project member names and click Send email.
- Complete the email message fields and click Send.
Removing people from project teams
Project administrators can remove people from projects, except for the project owner.
When a project member is removed, Revizto performs the following actions:

Sends the project member an email notification that they are removed from the project.
- If the project member is a report owner:
-
Changes the visibility of their reports to "Public issues". This removes private issues from the report, leaving only public issues.

Transfers ownership of their reports to the project owner.
-
Adds their email address to the report name.
Example: "New issues (by name@example.com)".

- If the project member is dashboard owner:
-
Transfers ownership of their project dashboards to the project owner.
-
Adds their email address to the dashboard name.
Example: "New issues (by name@example.com)".

- Force relinquishes the clash tests that they checked out and discards any unsaved changes.
-
Replaces the project member’s name in the issues, clash tests, reports, dashboards, and charts with their email address.

Suspends the project member’s email notifications.
The method described in this article does not let a project administrator to remove themselves. If you are a project administrator and you want to leave the project, see Leaving projects.

Troubleshooting
Q: I want to add people to a project but I don’t see the Enter email or select a user field.
A: You don't have enough rights. Ask a project administrator to add them.
Q: When I added a user to a project, instead of the project role I selected, the user was added with the "License administrator" role.
A: This user is a license administrator. Such users always have the "License administrator" role in the project; it provides the same rights as the "Project administrator" role.
Q: A project member that had the "License administrator" project role now has a different one.
A: This person is no longer a license administrator. The "License administrator" project role no longer overrides their current project role.
Q: I get the error: "<number> people weren't added because you've reached your license limit. Please contact your license administrator to solve the problem."
A: If you are a license administrator, go to License Management Tools > User Management and deactivate some license members, or request a license upgrade from a Revizto sales executive.
If you are not a license administrator, contact the license administrator. See their contacts in Tools > License Info.
Q: I get the error: "You can invite only members of your Revizto license to your project."
A: You do not have enough rights. Ask a license administrator to add the user to the project license, and then you will be able to add them to the project. See the license administrator contacts in Tools > License Info.
Q: I get the error: "Email addresses <email addresses> were not added because they are invalid" or "Email address <email address> was not added because it is invalid."
A: A correct email address should look like "person@example.com." If you paste an email address, ensure that there are no extra characters at the beginning and at the end.
Q: A project member's status is "Pending," what does that mean?
A: The project member hasn’t registered at Revizto Workspace. A registration link is valid for 72 hours. A project administrator can resend a registration link at any time.
Q: A project member's status is "Pending approval," what does that mean?
A: Their invitation to the project requires a license administrator’s approval.
If you are a license administrator, open the "Waiting for approval" list and approve the invitation. For more information, see Approving license members added through project invitations.
If you are not a license administrator, ask a license administrator to approve the invitation. See the license administrator contacts in Tools > License Info.
Q: A project member's status is "Suspended," what does that mean?
A: If you are a license administrator, see Recovering suspended license members.
If you are not a license administrator, ask a license administrator to correct this. See their contacts in Tools > License Info.
Q: I don’t see a filter by company, department, or location.
A: The company, department, or office location field is hidden.
If you are a license administrator, you can add this field. See Customizing license member fields.
If you are not a license administrator, you can ask the license administrator to add this field. See their contacts in Tools > License Info.
