License administrators can monitor the activity of license members. A license activity chart provides an overview of license member activity, while a license activity spreadsheet provides detailed data.

Overview
License administrators can view the license members activity data. A license member contributes to the activity data if they perform any of the following actions in any of the projects assigned to the license:
- Have the project open in the Revizto application.
- Create a project or a new project version.
- Add or remove a project member, or edit their access rights.
- Edit or comment an issue.
- Create, edit, or send a report.
- Create, edit, or send a dashboard or a chart.
If a full license member is a guest member in another license, their activity in the license where they have guest membership is included in the activity data of their main license. Each point on a license activity chart shows the number of license members broken down by days (or larger periods).
The following chart types are available:
- Line chart. For each period, shows the number of license members who were active during that period.
- Cumulative line chart. For each period, shows the total number of license members who were active since the beginning of the time period shown in the chart.
Example:
Ann created several projects. On the second day, Garold and Ann worked on the projects. On the third day, Garold, Ann, and three more people worked on the projects. On the fourth day, everyone took a day off except Ann.
The line chart shows that only Ann worked on the fourth day. The cumulative chart shows that five people worked on the projects by the fourth day.

Viewing license activity chart
The license activity chart provides an overview of license members activity. For a detailed report, see Exporting license activity data to a spreadsheet.
To view the license activity chart:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to License Management Tools, and then select User Management.

On the top toolbar, click
Activity.

At the top, apply filters.

In the upper-right corner, select a chart type.

If you want to exclude license members with the "Guest" license role, in the lower-right corner, clear the Activity of guest users checkbox.
To view the exact number of license members, move the pointer over a chart point.
Exporting license activity data to a spreadsheet
License administrators can export license activity data to a Microsoft Excel spreadsheet. The spreadsheet contains detailed information on each license member and their activity during the specified time period, including the following:
- Name, email, company, department, location, and tags.
- Number of days they were active in Revizto.
- Number and names of projects where they were active.
- Last activity date.
- Date when they were added to the license.
- Deactivation date (for deactivated license members).
- Their current license role and status.
- Days active in this license and in other licenses as a guest.
- Number and names of all projects they have access to.
To export license activity data to a spreadsheet:

At the bottom, click Export to Excel.
You will get the spreadsheet by email.
Best practices
License administrators can use license activity data to perform the following tasks:
- Identifying license members that occupy slots but do not work on any projects
- Monitoring license member activity in other licenses
- Estimating the activity of license members before renewing subscription
Identifying license members that occupy slots but do not work on any projects
A license member occupies a slot in a Revizto license if both of the following conditions are met:
- Their role in the license is Administrator, Content creator, or Collaborator.
- Their status in the license is "Active" or "Pending," or "Suspended."
If a license member occupies a license slot but does not work on any projects, you can do the following:
- Check why they do not use Revizto. Consider arranging training sessions for them.
- Deactivate them to free the slot.
To identify license members that do not work on any projects but occupy license slots:

Sign in to ws.revizto.com.

If you are a member of several licenses, ensure that the correct license is selected.

Go to License Management Tools, and then select User Management.

Open the filter panel.

Apply the following filter:
- Status (show only active, pending, and suspended license members)
- Role (hide the super administrator and guests)
- Last activity date
The resulting list shows inactive license members that occupy license slots.
Monitoring license member activity in other licenses
If your license allows its members to be guests in other licenses, users that occupy slots in your license might be added to other licenses as guests.
The activity chart displays combined activity of license members in the current license and in other licenses. In the activity spreadsheet, there is a way to view the separate numbers.
To view license member activity data in other licenses:

Export the license activity data for a recent period to a spreadsheet.

In the spreadsheet, on the Users sheet, check the following columns:

Days active. Combined activity in the current license and other licenses.

Days active inside. Activity in the current license.

Days active outside. Activity in other licenses.

Estimating the activity of full license members before renewing subscription
It is a good practice to estimate the activity of full license members before renewing a subscription. If it is close to the license limit, consider requesting an upgrade.
To estimate the number of active full license members:

Open the license activity chart for the current subscription period with the Cumulative line chart option selected and the Activity of guest users checkbox cleared.

Find the total number of license members that were active during the current subscription period (the rightmost point in the cumulative chart).

If the number is close to the license limit, consider requesting a license upgrade.
FAQ
Q: The number of license members who performed any activities is greater than the number of license slots. How can this be?
A: Some of the license members do not occupy license slots. To learn which license members do not occupy slots, see Understanding license slots.
