Importing and exporting users Follow
Importing and exporting users can be used to migrate users to a different license region, save lists of project members, or add multiple new users to a project.
Importing users to a different Revizto license requires user capacity to be available on the destination license. When your Revizto license has no user capacity, no more users can be migrated or imported to that license.
Note
Guest users do not count towards your user capacity, but must be a full license member in the destination license region. If they do not meet the qualifications of a guest user, they will be added to the license as a Collaborator, which counts toward the user capacity.
Importing users
- Sign in to ws.revizto.com.
- If you are a member of several licenses, ensure that the correct destination license is selected.
- Open the Tools dropdown menu, then under License Management Tools select User Management.
- Verify the number of available user slots can accommodate the new users.
- Click Import users and select the spreadsheet file with your users. You can use Revizto’s exported user list or your own spreadsheet with user information. This will open the import users page and start the import users process.

On the Set authentication method page, select the authentication method to apply to imported users then click Next.
- This page is only available when multiple authentication methods are configured in your license.

On the Map user fields page, select your user data sheet, and map the appropriate fields using the dropdowns near the top of the page, then click Next.
- If your Excel document has multiple sheets, you can select the correct sheet in the Excel sheet dropdown menu.
- Revizto Workspace treats each row in the spreadsheet, including title rows, as a potential user.
- The “Email” field is required. Users that do not have a valid email address will not be imported.

Set the license roles and add tags for the imported users, then click Next.
- The selected license role will be applied to all imported users.
- Guest roles and existing user roles are selected to be maintained by default, and can be changed through the option checkboxes.

Add users to projects and select their roles, then click Next.
- The selected role will be applied to all imported users.
- Users can be added to multiple projects at once by clicking + Add.
- On the Final review page make sure all changes are correct, then click Import.

Exporting users
- Sign in to ws.revizto.com.

- If you are a member of several licenses, ensure that the correct license is selected.
- Open the Tools dropdown menu, then under License Management Tools select User Management.
- Select the users you want to migrate. You can use filters to narrow down to the users you specifically want to export.
- Click Export to Excel and you will receive an email with a download link. Clicking the link in the email will download a generated Revizto-User-Directory-<Date>-License-ID-<your license ID>.xlsx Excel spreadsheet.
The exported users spreadsheet will have the fields shown on the User Management page, and can be used for user import, and project records.
Troubleshooting
Q: I don’t see the Company, Department, or Office Location field when I add people to licenses.

Q: When I import people to a license from a spreadsheet, I don’t have the option to map a spreadsheet column to a company, department, or office location field.
