Importing sheets Follow
You can import PDFs as sheets from your local files and online CDEs. Revizto treats each page of a PDF document as a sheet. By parsing PDF file names and page labels, Revizto can generate sheet numbers, names, and revisions. This data can determine whether the pages being imported are new versions of existing sheets, or entirely new sheets.
You can correct the numbers, names, and mapping of pages and existing sheets before importing. To minimize manual corrections, ensure that your PDF file names or page labels match one of the sheet naming formats.

Required permissions
Users require project access rights to import new sheets, or overwrite sheets. If you are unable to import sheets your project role does not have the required rights or permissions. If you are using a CDE, you will also need viewing/access permissions with your CDE to view sheets in Revizto.
You can view your access rights in the Project Team tab in Revizto workspace by clicking View project role or Set project role
next to your role name. See Managing project roles for more information.

Importing PDFs as sheets
Revizto users with the required permissions can import PDFs as sheets from local files or integrated Common Data Environments (CDEs). CDE connected sheets automatically update and ensure Revizto is using your latest sheet revisions. Existing issue data and 3D overlays are maintained between sheet versions when sheets are exported with sheet coordinates from your authoring software.
You can import sheets through the 2D environment with the 2D gallery and sheet viewer, or through the Docs environment with CDEs.

Importing sheets through the sheet viewer
You can also import sheets within the sheet viewer. Revizto automatically links the imported PDF to the sheet you are viewing to create a smooth update workflow.
Note: Revizto only imports the first page of a PDF when linked to an existing sheet. If multiple sheets are saved into a single PDF, you can open and print the needed page as a new PDF.
To import sheets from the sheet viewer:
-
On the top toolbar of the sheet viewer, click Import file
.

|
- Review the sheet mapping options, and make any necessary changes.
- In the upper-right corner, click Done.
After sheets are imported, the date fields are set to Pending until you sync your project.
Importing sheets through a CDE
CDE connected sheets automatically stay up to date and add all available version history for the sheet into Revizto. To prevent automatic updates of CDE sheets, see Detaching sheets from a CDE. You can also learn how Revizto assigns revision numbers to CDE sheets from Sheet version numbering.
Note: Only single-page PDFs can be imported from a CDE. If more pages are added to the document after the initial import then Revizto only reads the first page in the file when automatically updating the sheet.
To import sheets through Docs:
- At the top of the application window, click Docs.
-
Open the CDE folder containing your sheets.
- If you are not signed in to the CDE, Revizto will prompt you to enter your username and password.
- Click Send to 2D
.
- Select the checkboxes for the PDFs you want to import, then in the upper-right corner, click Done.
- Review the sheet mapping options, and make any necessary changes.
- In the upper-right corner click Done.
After the sheets are imported, their dates are set to Pending. When you sync your project, they change to the sync date.

After the sheet is converted, the date field is set to Pending and it will have a new CDE icon indicating the sheet is connected to your CDE. When you sync your project, it will change to the sync date.
Sheet mapping options
Updating sheets from different sources or tools can sometimes require manual edits to sheet names or mapping. During sheet import you can verify all details and ensure Revizto holds the latest information.
You can perform the following actions when importing sheets from files or CDEs:
-
Select a different Sheet naming type and reapply sheet mapping.
- Click Edit to change the sheet number and sheet name. Click OK to confirm changes. If you enter a duplicate sheet number, Revizto will add a space and number to make it unique.
Ex: Name, Name 1, Name 2, etc. - Click Rotate to rotate a sheet 90 degrees.
-
Click Connect to start mapping an imported sheet to an existing sheet. Click Select to map the chosen sheet.
- Click Disconnect to remove an existing sheet mapping.
- Click Delete
to remove a page from import.
Sheet naming formats
When importing sheets, Revizto separates file names and page labels to generate sheet titles, descriptions, and revisions. Updated sheet titles will overwrite previous sheet titles unless the new title is blank, in which case Revizto keeps the old title. The naming rules are based on the format that you select and uses the following logic variables:
| Number | Any string without whitespace characters. If several sheets have identical numbers, any after the first one have serial numbers added to this number. Serial numbers are always applied when importing multi-page documents. |
| Title | Any string without brackets: (), [], or {}. |
| Separator | Any number of whitespace characters (spaces) with or without a single underscore "_", or a single underscore. |
| Revision | Any string in brackets: (), [], or {}. |
| Prefix: | A string followed by a colon “:” and a whitespace character. |
Parsed filename
This option is recommended for single-page PDFs to prevent duplicating sheet numbers.
Revizto applies the following logic when using the Parse filename format:
| <Number>.pdf <Number><Revision>.pdf <Number><Separator><Title>.pdf <Number><Separator><Title><Revision>.pdf <Number><Revision><Separator><Title>.pdf |
A0000.pdf P1003 Waste-Plan-Floor-3.pdf |
Name + page
This option is recommended for multiple-page PDF documents to easily reference the filename when editing details during import. The Name + page option sets the filename + page number as the sheet number. Sheet title and sheet revision are blank.
Page label
Page labels are set in your sheet authoring tools, and can be used to import multiple sheets from one PDF document. Sheet revisions are left blank when using Page label imports. Revizto separates sheets by page, and can read the following label formats for each page:
| <Number> <Prefix>: <Number> <Number> - <Title> <Prefix>: <Number> - <Name> |
A9000 Renders: A9001 A9002 - Exterior South Renders: A9003 - Exterior_2 North |
Troubleshooting
Q: I cannot select a CDE document to import as a sheet. The checkbox next to it is unavailable and grayed out.
A: The checkbox is unavailable for one of the following reasons:
- It is already imported. Documents that are imported to Revizto are marked with the
icon.
-
It is not a PDF document, and therefore it cannot be imported as a sheet.
